Implementation of the TRACEO IT Asset Assignment Application

  1. Cadets and Junior Canadian Rangers Group (CJCR Gp) is introducing a digital IT asset management application named TRACEO. This initiative supports the CJCR Gp Digital Strategy and DND/CAF guidelines that govern the management of IT assets owned by CJCR Gp.
  2. As of January 2026, the phased deployment of TRACEO is underway, beginning with CJCR GP HQ and Regional Cadet Support Unit (RCSU) staff. Members will be notified as IT assets are assigned within TRACEO and will be required to acknowledge their responsibilities as custodians. Full implementation is anticipated to be completed by the end of Fiscal Year 2026/27.
  3. IT asset tracking within CJCR Gp is currently managed through DRMIS, SLOC-based processes whereby assets are transferred to local corps/squadrons. The temporary loan process, originally intended for short-term loans, is frequently used to manage long-term assignments to individual users. This approach limits visibility and traceability, complicates asset management, and, when combined with high transaction volumes, contributes to processing delays, inventory discrepancies, and increasing administrative backlogs.
  4. TRACEO will modernize IT asset tracking by shifting from SLOC-based transfers and manual workarounds to a streamlined, digitally enabled model. TRACEO provides an efficient, modern process to assign, record custodianship, track and manage assets. Implementation will improve accountability, inventory accuracy, and reduce administrative burden associated with current processes as well as enable more effective lifecycle management. Users will have real-time visibility on assets assigned to them.
  5. The key change from the current process is that IT assets will now be accounted for under the applicable RCSU SLOC only. Assets will be assigned to corps/squadrons, training establishments, and individual members, consistent with CJCR Gp policy on the allocation of IT resources. This approach significantly reduces the need for DRMIS transactions and digital acknowledgments, further reducing administrative tasks and processing delays.
  6. Access to TRACEO is managed through Cadet365 authentication and role-based permissions. Data is stored within a secure Microsoft environment in accordance with applicable DND and CJCR Gp policies, and a Security Assessment and Authorization (SA&A) process will be completed as part of the application deployment.
  7. Minimal end-user training is anticipated due to the simplicity and intuitive design of the application interface; however, help documentation will be hosted on Cadet365 and will be accessible directly from within TRACEO. The CJCR Gp IT Service Management Centre (SMC) will provide continued technical support and information regarding TRACEO rollout.
