Managers: Information on Term, Casual, and Student Extensions/Non-Renewals

The HR Connect RH team is here to support you in identifying temporary employee end dates and to help with extending or terminating the period of employment as required.

Many students, casual, and term employees have end dates in March and April 2022. Please follow these guidelines:

If you want to extend the employment:

  • Submit the extension (accessible only on the National Defence network) in GC HRMS 8.9 (accessible only on the National Defence network) Manager Self Service HR Request module no less than 20 business days before the current end date to ensure continuous employment.
  • Contact the HR Connect RH team who can support with submitting the staffing HR request on your behalf.

Note: Casual employees can only work a cumulative maximum of 90 days in a calendar year in DND.

If you do not want to extend the employment:

  • For term employees only, provide the employee with one month written notification using the End of Specified Period Employment [DOC-140KB] (accessible only on the National Defence network) template. No written notification is necessary for students or casuals, however they should be advised as soon as possible.
  • If there are any outstanding pay actions for the employee or student, please ensure they are addressed promptly and before the employee’s or student’s current employment end date; otherwise, their final pay and entitlement may be delayed. Examples of outstanding actions include leave without pay, vacation leave, sick leave, and overtime.

As reminder, the Policy on COVID-19 Vaccination for the Core Public Administration Including the Royal Canadian Mounted Police requires that all employees must meet the Condition of Employment (or have an approved accommodation). Since the policy applies to students, casuals, term extensions and term rollovers, they must meet this condition in order to extend them in any of these tenures.
